For many new parents, going about how to book newborn photos can be a daunting and overwhelming thought. Choosing the right photographer, then figuring out the best time to book, and then how to book that dream newborn photographer can be a lot to think about in the midst of preparing for a new baby!

As a professional newborn photographer in Oklahoma City, I’m here to share my own businesses process for welcoming, booking and scheduling new clients just like you. I’ll break it down in easy-to-understand steps so you can be prepared and know exactly what to expect!

How to Book Newborn Photos | Step 1: Inquiry

The first step in booking your newborn photos is to inquire about availability. Photos by Ashleigh takes only 5 newborn clients per month, and those are reserved based on the client’s due date. The best time to reserve your session is between 28 and 36 weeks pregnant, that way we have time to plan out the perfect shoot!

To inquire, potential clients should first review the investment page, and then complete the contact form found on the Photos by Ashleigh website! Once you do, I’ll receive your information and reach out via email and text message.

Step 2: Consultation

Every session begins with a complimentary consultation call. Soon after you inquire, I’ll reach out to set up this phone call with you. During the call, we will discuss your dream newborn photo session – outfits, time of day, who will be involved, backdrops, colors, textures, the emotions you want to capture – every little detail. I’ll also ask some additional questions about your family to get to know you and your story a bit better. After we’ve discussed your perfect photo shoot, we will discuss pricing options and move forward with booking your session!

Step 3: Contract & Booking Fee

At the end of our call, I’ll discuss pricing options including the booking fee and products. Once you decide we’re a good fit and want to move forward with booking your newborn photos, I’ll send over a contract and invoice for you to complete. Your booking fee price may vary depending on what your session will consist of, so it’s always best to start with a consultation call so I can give you a custom quote!

Once these two items are completed fully, you are then considered a booked PBA client! Yay!! Time to do a happy dance! This is also the perfect time to head on over to Pinterest for some newborn photo session inspiration!

You’ll receive a series of emails from me including a design questionnaire, prep guide, welcome guide and more, so go ahead and add me to your contacts so those emails don’t land in your spam folder.

Step 4: Share the Good News

Once your baby has made their safe arrival earth side, I ask all of my clients to please let me know as soon as possible. This helps me ensure that there is nothing pressing on my calendar, and allows me to be positive in the dates that I send you for your newborn session! If, for any reason, mom or baby need to stay in the hospital longer or return to the hospital after discharge, please communicate that with me and we will reschedule your session date! Mom and baby’s health matter the most!

The ideal time to schedule your session is within 21 days of baby’s birth, so letting me know as soon as you can that baby has been born will allow me to move my schedule around and get a date that works best for you and your family!

Once these four easy steps have been completed, your session is officially scheduled. All you need to do now is arrive at your session, sit back, relax, and let my team and I do all of the work creating and documenting this incredible step in your motherhood journey.
